We are seeking a highly organized, proactive, and self-motivated Administrative Coordinator with real estate, property management, or facilities management experience. The ideal candidate will be an independent thinker with the ability to manage multiple tasks, switch priorities quickly, and thrive in a dynamic, fast-paced environment. You will serve as a liaison between the field and operations teams, supporting various departments, assisting in day-to-day operations, managing contracts, and providing administrative support to ensure the smooth and efficient running of real estate activities.
Responsibilities:
Provide administrative support across multiple departments within the real estate division, including calendaring, note-taking, scheduling meetings, and managing communications.
Act as a point of contact between field staff and operations teams to ensure effective communication and smooth coordination of tasks and initiatives.
Assist with property management tasks, including coordinating maintenance, scheduling inspections, and ensuring compliance with lease agreements and property management regulations.
Support facilities-related functions, from vendor management to coordinating maintenance schedules and responding to emergency needs.
Review and assist with legal contracts, ensuring compliance with terms and deadlines. Assist with preparing documentation and facilitating communication between internal teams and external partners.
Use internal software platforms for document management, scheduling, vendor management, and data entry. Maintain accurate and detailed records, including notes from meetings and calls.
Qualifications:
2+ years of experience in real estate, property management, or facilities management.
Knowledge of legal contracts, lease agreements, and property management principles.
Low-level AP or accounting experience preferred.
Excellent communication skills, both verbal and written, including professional phone call etiquette.
Flexible and adaptable to change, with a solution-oriented mindset.

Compensation range depending on experience: $30-35/hr.
